WFTGA 2026 Convention – Terms and Conditions

1. Organiser and Liability

The official organiser of the WFTGA 2025 Convention is Kyushu Association of Interpreters, Translators and Guide-Interpreters (K-iTG), based in Japan, acting on behalf of the World Federation of Tourist Guide Associations (WFTGA), based in Austria. K-iTG assumes full responsibility and legal liability for all aspects of the event organisation and execution. The WFTGA functions solely in an advisory and representative capacity and bears no legal responsibility for the event.

Important: As this is an internal professional association event for tourism industry professionals, consumer travel protection laws do not apply to this Convention.

2. Participation Categories and Included Services

Delegate Package (6days) includes:

– Shuttle bus service between Hotel Okura Fukuoka and the Fukuoka International Congress Centre on February 8 (Sun) and February 12th (Thu)

– Welcome cocktail function at Lively Fukuoka Hakata on February 7 (Sat)

– General Assembly sessions with lunch and tea breaks on February 8 (Sun) and February 12 (Thu)

– Special programme including lunch for the Delegates’ accompanying person(s) on February 8th (Sun)

– Main Convention Package (5days)

Main Convention Package (5days) includes:

– Shuttle bus service between Hotel Okura Fukuoka and the Fukuoka International Congress Centre during the Convention period

– Participation in any Convention Programme (Opening Ceremony, Lectures, Workshops, City Tours, Study Tours, and Closing Ceremony), with lunch provided on Days 1-4 and tea breaks on Days 1, 2, and 5. *A special workshop and city tour will also be available for accompanying persons on Day 2

– Welcome dinner event at the Fukuoka International Congress Centre on Day 1

– Gala Dinner at Hotel Okura Fukuoka on Day 4

– Congress bag, local souvenir, and digital Attendance Certificates

Main Convention Package (1day) for Non-WFTGA Domestic (Japanese) participants includes:

– Participation in one of the first three days of the Convention, including lunch, tea breaks (Day 1 and 2) and a dinner event. Given that no dinner is planned for Day 2, participants who have booked a one-day package for Day 2 are eligible to attend the dinner event on Day 1.

– Congress bag, local souvenir, and digital Attendance Certificates

Virtual Attendance is applicable for:

– Online (ZOOM) participation in the Opening Ceremony, Keynote Speeches, Bidding countries’ presentations, the Gala Dinner, and Closing Ceremony

3. Services NOT Included:

International flights to/from Japan

Domestic flights within Japan (unless specifically mentioned)

Travel insurance and medical insurance.

Visa application fees and related expenses

Personal expenses and purchases

Room service, minibar, laundry services, and other hotel extras (even if accommodation was booked through the official registration system)

Telephone calls and internet charges (where not complimentary)

Beverages (except those included in official dinners)

Optional tours or activities not listed in the official programme

4. Medical Conditions and Special Requirements

Participants should inform K-iTG in writing at time of registration of:

Any medical conditions requiring special attention.

Food allergies or dietary restrictions

Mobility limitations or accessibility requirements

Medication requirements

K-iTG will make reasonable efforts to accommodate special needs but cannot guarantee that all requirements can be met. Participants with serious medical conditions are advised to consult their physician before travel and ensure adequate travel insurance coverage.

5. Force Majeure and Liability Limitations

K-iTG shall not be held liable for any injury, illness, accident, loss, damage, delay, or programme modifications caused by circumstances beyond reasonable control, including but not limited to:

Natural disasters (earthquakes, typhoons, volcanic activity)

Pandemic or health emergencies

Extreme weather conditions

Political unrest or civil disturbances

Transportation strikes or delays.

Acts of terrorism

Government restrictions or regulations

Supplier failures beyond K-iTG’s control

In such circumstances, K-iTG reserves the right to modify the programme, substitute venues, or arrange alternative services of comparable value. No compensation will be provided for such modifications, and any additional expenses remain the participant’s responsibility.

6. Cancellation and Refund Policy

WFTGA Convention 2026 Cancellation Policy 

Cancellation of the Convention package, accommodation, Pre-Programme, and/or Post-Programme by the participants.

made before 11th of December 2025: 90% of the total amount will be refunded. 

made between 11th of December 2025 and 9th of January 2026: 50% of the total amount will be refunded. 

made on or after 10th of January 2026: No refund will be made.

Cancellation of Virtual attendance 

made before 6th of February 2026: 90% of the total amount will be refunded.

made on or after 6th of February 2026: No refund will be made.

However, in the event that travel to Japan becomes institutionally impossible—such as due to a government-imposed travel ban or significantly stricter visa issuance policies—the following shall constitute the applicable cancellation policy.

made before 11th of December 2025: 90% of the total amount will be refunded.

made between 11th of December 2025 and 9th of January 2026: 50% of the total amount will be refunded. 

made on or after 10th of January 2026: 20% of the total amount will be refunded.

Cancellation notices must be submitted in writing to the registration office.

The dates mentioned above are based on Japan Time. All refunds will be processed and returned within 60 days following the conclusion of the Convention (17th February).

Additional Terms:

Substitutions: Name changes/substitutions may be permitted subject to K-iTG approval and administrative fee

No-shows: No refund for non-attendance or partial participation

Processing: Refunds will be processed within 60 days after the Convention concludes (17th February)

Method: Refunds will be made via the original payment method

Event Cancellation by Organiser:

Should K-iTG be compelled to cancel the convention due to force majeure, no refunds of the registration fee shall be provided. K-iTG’s liability is limited to bookings made through the official registration system and does not extend to airfares, accommodation bookings made independently, or other related expenses.

7. Age Eligibility for Participation
   Participants aged 13 and above may register only if accompanied by a parent or guardian.

8. Behaviour and Conduct

Participants are expected to conduct themselves professionally and respectfully throughout the Convention. K-iTG reserves the right to remove any participant whose behaviour is deemed inappropriate, with no refund provided.

9. Data Protection

Personal information provided during registration will be used solely for Convention purposes and will be handled in accordance with applicable data protection laws. Information may be shared with hotels, transport providers, and other service suppliers as necessary for event execution.

10. Photography and Media

By participating in the Convention, participants consent to photography and video recording during official events. These materials may be used by WFTGA and K-iTG for promotional purposes.

11. Final Provisions

These Terms and Conditions constitute the complete agreement between participants and K-iTG.

Any modifications must be made in writing and agreed upon by both parties.

If any provision is deemed invalid, the remaining provisions remain in full effect.

Applicable Law: Japanese law governs this agreement.

Jurisdiction: Japanese courts have exclusive jurisdiction for any disputes.

Language: In case of discrepancies between language versions, the English version shall prevail.

WFTGA and K-iTG reserve the right to modify the programme, venues, or arrange services of comparable value. No compensation will be provided for such modifications, and any additional expenses remain the participant’s responsibility.

By completing registration and payment, participants acknowledge they have read, understood, and agree to be bound by these Terms and Conditions.

• Expert guided tours on Days 1-5 (English)
• Admission and participation fees for places included in the guided tours
• Transportation by private coach from Fukuoka to Nagasaki, Saga and back to Fukuoka; Shinkansen (bullet train) to Hiroshima and Kyoto

• Services NOT Included:

Travel insurance and medical insurance.

Personal expenses and purchases

Transportation from Kyoto to Fukuoka and/or other destinations after the conclusion of the Post-Programme

Optional tours or activities not listed in the official programme

WFTGA 2026 総会 – 利用規約

1. 主催者と責任

WFTGA 2026 総会の正式な主催者は、日本に拠点を置く「九州通訳・翻訳者・ガイド協会（K-iTG）」であり、オーストリアに本部を置く「世界通訳案内士連盟（WFTGA）」を代表して開催します。K-iTG は、本イベントの企画および運営に関するすべての事項について、完全な責任と法的責任を負います。WFTGA は助言的および代表的な立場にあり、イベントに関して法的責任は負いません。

重要： 本イベントは観光業界の専門家による職能団体の内部イベントであるため、消費者向け旅行保護法は適用されません。

2. 参加カテゴリーおよび含まれるサービス

デリゲートパッケージ（6日間） 含まれる内容：

• 2月8日（日）および2月12日（木）のホテルオークラ福岡と福岡国際会議場間のシャトルバス
• 2月7日（土）にライブリー福岡博多にてウェルカムカクテル
• 2月8日（日）および2月12日（木）の総会（昼食およびティーブレイク付き）
• 2月8日（日）の同行者向け特別プログラム（昼食含む）
• メインコンベンションパッケージ（5日間）

メインコンベンションパッケージ（5日間） 含まれる内容：

• 会期中のホテルオークラ福岡～福岡国際会議場間のシャトルバス
• 開会式、講演、ワークショップ、市内観光、研修ツアー、閉会式などへの参加（1〜4日目の昼食、1・2・5日目のティーブレイク付き）

非WFTGA会員（日本国内在住）向け 1日間パッケージ 含まれる内容：

3. 含まれないサービス

• 日本への国際線
• 日本国内の移動（明記されている場合を除く）
• 旅行保険・医療保険
• ビザ申請料および関連費用
• 個人的な費用や購入
• ルームサービス、ミニバー、ランドリーなどのホテル追加サービス（公式登録システムで予約した宿泊でも対象外）
• 電話・インターネット代（無料でない場合）
• 飲料（公式ディナーに含まれるものを除く）
• 公式プログラムにないオプションツアーやアクティビティ

4. 医療上の配慮・特別な要望

参加者は、以下の内容について登録時にK-iTGに書面で通知してください：

• 特別な配慮が必要な健康状態
• 食物アレルギーや食事制限
• 移動制限やアクセシビリティの必要性
• 医薬品の要件
  K-iTGは、合理的な範囲で対応しますが、すべての要望に対応できる保証はありません。重篤な健康状態の方は、渡航前に主治医に相談のうえ、十分な旅行保険の加入を推奨します。

5. 不可抗力および責任制限

以下のような不可抗力に起因する損害について、K-iTGは責任を負いません：

• 自然災害（地震・台風・火山噴火など）
• パンデミックや健康緊急事態
• 異常気象
• 政治的混乱や内乱
• 交通機関のストライキや遅延
• テロ行為
• 政府による制限や規制
• K-iTGが管理できない外部提供者の失敗

これらの状況において、K-iTGはプログラムの変更、会場の代替、同等のサービスの手配などを行う権利を有します。変更に対しての補償は行われず、追加費用は参加者の負担となります。

6. キャンセル・返金ポリシー

通常のキャンセル規定（参加者によるキャンセル）：

• 2025年12月11日以前：料金の90％返金
• 2025年12月11日～2026年1月9日：料金の50％返金
• 2026年1月10日以降：返金なし

バーチャル参加のキャンセル：

• 2026年2月6日以前：料金の90％返金
• 2026年2月6日以降：返金なし

制度上の渡航不可能時（例：政府による渡航禁止やビザ制限）：

• 2025年12月11日以前：90％返金
• 2025年12月11日～2026年1月9日：50％返金
• 2026年1月10日以降：20％返金

※すべての日時は日本時間に基づきます。返金処理は大会終了後（2月17日）から60日以内に行われます。

その他条件：

• 名義変更：K-iTGの承認と手数料により可
• 欠席・一部参加：返金対象外
• 返金方法：支払いと同じ方法で返金

主催者によるイベント中止時：
K-iTGが不可抗力によりイベントを中止する場合、登録料の返金は行いません。K-iTGの責任は公式登録システムを通じた予約に限定され、航空券や個人での宿泊予約などは対象外です。

7. 参加可能年齢

13歳以上の方は保護者同伴でのみ参加登録可能です。

8. 行動規範

参加者は、会期中は常に専門的かつ礼儀正しい態度で行動することが求められます。不適切な行動があった場合、K-iTGは当該参加者を退場させる権利を有し、その際返金は行いません。

9. 個人情報保護

登録時に提供された個人情報は、本総会に関連する目的のみに使用され、適用されるデータ保護法に従って管理されます。ホテル、交通事業者、その他の関連業者と情報を共有する場合があります。

10. 写真・映像の使用

総会参加者は、公式イベント中に撮影される写真・映像がWFTGAおよびK-iTGによる広報目的に使用されることに同意したものとみなされます。

11. 最終条項

本利用規約は、参加者とK-iTG間の完全な合意を構成します。変更は書面により、双方の同意が必要です。
一部の条項が無効とされた場合でも、他の条項は有効に存続します。

• 準拠法： 日本法
• 裁判管轄： 日本の裁判所が専属的管轄を有します
• 言語： 言語間に相違がある場合は英語版が優先されます

WFTGAおよびK-iTGは、プログラム・会場・同等のサービスの変更を行う権利を有しますが、その場合も補償は行われず、追加費用は参加者負担となります。

登録および支払いの完了をもって、本規約に同意したものとみなされます。
